Job Description

This position will work a hybrid schedule which includes a combination of working both onsite at La Jolla and remote.

DESCRIPTION

UC San Diego Health Sciences encompasses UC San Diego Health, the region's only academic health system, UC San Diego School of Medicine, one of the nation's top research-intensive medical schools, Skaggs School of Pharmacy and Pharmaceutical Sciences, Southern California's first public school of pharmacy, and Herbert Wertheim School of Public Health and Human Longevity Science. UC San Diego Health Sciences' mission is to deliver outstanding patient care through commitment to the community, groundbreaking research and inspired teaching.

The division of Medical Education within the UC San Diego School of Medicine consists of the following units: Undergraduate Medical Education, Admissions & Student Affairs, Diversity and Community Partnerships, Graduate Medical Education, Continuing Medical Education & Faculty Development, Simulation Education, Physician Assistant Education, Anatomical Services, Business Affairs and Educational Technology. The division supports the education, training and co-curricular activities of approximately 560 medical students, 90 physician assistant students, 1000 residents and fellows as well as the faculty, physician and healthcare providers at UCSD's School of Medicine, its' Medical Centers, and affiliates.

Academic Community Coordination

Under Supervision, serve as the coordinator for the six Academic Communities (AC's) within the School of Medicine, in consultation with the Associate Dean for Admissions and Students Affairs and the Director of Student Affairs. Serve as the primary resource for all AC faculty directors (ACD's). Responsible for optimizing student management of Academic Community (AC) community service projects, in close collaboration with AC Directors. Responsible for all logistics associated with the implementation of AC programs for SOM students, including orientation sessions, community outreach activities, career planning activities, and curricular and social activities. Create, maintain and update AC scheduling and student databases. Provide additional programmatic support to the Student Affairs unit as needed.

Administrative and Fiscal Support

Under supervision, Provide high-level administrative support to the Admissions and Student Affairs leadership team on a wide range of projects and assignments that may be complex and confidential in nature. Independently manage a complex calendar as requested by analyzing meeting requests to accommodate priorities, ensuring day/time accuracy, notating and communicating changes as they arise. May coordinate complex travel, including airfare, hotel accommodations and conference registration for the leadership team and assist with special projects and tasks, as assigned.

Applies acquired skills, process, and policy knowledge to support professional health education program learners. Coordinates program operations, which include teaching and learning activities, program curriculum, learner scheduling, maintaining databases, tracking learner compliance, and program accreditation. Performs other duties as assigned.

MINIMUM QUALIFICATIONS
  • Six years of related experience, education/training, OR a Bachelor's degree in related area plus two years of related experience/training.

  • Basic knowledge of relevant policies and regulatory requirements. Basic knowledge of health professions education industry.

  • Basic knowledge of administrative analysis and operations research. Acquiring skills in developing and implementing processes and systems. Familiarity with the administrative and operational implications in a program.

  • Communication skills; includes verbal, written and active listening. Service oriented and responsive to questions and requests. Ability to interact in a professional, resourceful, and courteous manner.

  • Demonstrated interpersonal skills. Demonstrated ability to develop working relationships within department and with learners.

  • Excellent organizational skills, analytical, and demonstrated attention to detail. Ability to work with extremely complex faculty calendars / schedules requires extremely well organized and detail oriented precision.

  • Knowledge of educational technology and systems. Ability to troubleshoot and triages related technology issues.

  • Investigative, data analysis, and reporting skills. Ability to generate computer reports, checking for errors, correcting and submitting accurate reports. Skills include entering, maintaining, extracting, and analyzing data in electronic systems.

  • Demonstrated high degree of professionalism and independence in a rapidly changing, time-pressured environment. Proven ability to exercise independent judgment, independently analyze, organize, and prioritize daily activities. Strong organizational skills.

  • Proven ability to work independently without direct supervision using initiative and resourcefulness. Ability and willingness to learn new skills and take on new tasks as needed for all aspects of the position. Strong independent prioritization and allocations skills. Strict sense of confidentiality.

  • Excellent administrative skills including maintaining calendars, scheduling and organizing meetings, retreats/workshops, and organizing files.

  • Demonstrated experience providing full range of high level independent executive administrative support combined with proven skill to coordinate complex activities and use independent judgment to organize and prioritize office functions.

PREFERRED QUALIFICATIONS
  • Experience working with UCSD systems/databases and knowledge of UCSD policies and business practices.

Pay Transparency Act

Annual Full Pay Range: $63,099 - $91,914 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $30.22 - $44.02

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
