Operation Kindness is seeking an Executive Assistant to the COO to join our team! Operation Kindness is a pioneer in Texas for assisting animals in need of veterinary care, companionship and most of all, a home.

REPORTING RELATIONSHIP: Reports to a Senior Executive
POSITION OVERVIEW: The Executive Assistant is responsible for providing comprehensive support to the CEO, COO, and/or CCIO. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
POSITION RESPONSIBILITIES:
· Provide calendar management. Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day-to-day engagements.
· Complete a broad variety of administrative tasks that facilitate the ability to effectively lead the organization, including: assisting with special projects; designing and producing documents, reports, and presentations; collecting and preparing information for meetings with staff and outside parties; composing and preparing correspondence; maintaining contact lists; making travel arrangements
· Serve as the initial point of contact for internal and external constituencies on matters pertaining to the Executive, including those of a highly confidential or critical nature. Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect their style and organization policy.
· Work closely with them to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
· Coordinate meetings and assist with staff meetings and events as needed.
· Order, inventory and organize office materials such as breakroom and office supplies, etc. (when needed).
· Provide hospitality to all guests and help to create a welcoming environment.
· Answer Executive’s phone line and respond to inquiries.
· Process and distribute daily mail (when needed).
· Other projects/duties as assigned for Leadership and/or for overall benefit of the organization.
General Responsibilities
· Reports suspicion of animal abuse or neglect to any Manager or above immediately.
· Reports any unsafe working conditions to any Manager or above immediately.
· Maintains client, donor, volunteer, and staff confidentiality at all times.
· Follows SOPs and other safety regulations at all times.
· Completes all necessary and requested training in a timely manner in accordance with shelter policy.
· Attends staff meetings.
· Participates in shelter events as requested by Supervisor.
· Performs other duties as requested or assigned.
POSITION REQUIREMENTS:
Experience and Education Requirements
· Significant executive support experience, including supporting C-level executives. At least 3 years of experience preferred.
· High school diploma or equivalent.
Successful Candidates will possess the following qualifications:
· Intermediate to Expert proficiency with Microsoft Office, Sharepoint and desktop publishing software; ability to design and edit reports, graphic presentations and materials.
· Strong verbal and written communication skills.
· Exceptional organizational skills and impeccable attention to detail.
· High degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, volunteers, and donors
· Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
· Able to maintain a high level of integrity and discretion in handling confidential information.
· Ability to switch gears at a moment’s notice.
· Feels and expresses a genuine liking for animals and for working in an animal care environment.
· Supports Operation Kindness’s mission and understands how it is organized and functions as a non-profit organization.
· Is able to work equally well with paid staff members, donor, clients, and volunteers, demonstrating kindness with all persons.
