TITLE: Philanthropy & Outreach Specialist
JOB OVERVIEW: The Philanthropy and Outreach Specialist will play a pivotal role in advancing the hospital's mission through effective donor communication, marketing, data management, and event and volunteer support. Acting as a key outreach representative for Valley Medical Center, this role will engage diverse groups, foster meaningful connections, and communicate a shared dedication and passion for healthcare among our community partners.
DEPARTMENT: Member Services
WORK HOURS: Typically, 8:30AM to 5:00PM; some evenings and weekends as required to fulfill job requirements.
REPORTS TO: Director, Philanthropy & Volunteer Services
PREREQUISITES:

Bachelor's in communications, marketing, journalism, public relations, social services, or a related field required. Four (4) or more years of relevant experience, or a combination of education, may substitute for degree requirement.

Minimum three (3) to five (5) years' experience in philanthropy, community outreach, or a related field, preferably within a healthcare or nonprofit setting.

Exceptional communication and relational skills, with the ability to engage a variety of stakeholders.

Working knowledge and beginner to intermediate proficiency with CRM databases and data analysis tools.
QUALIFICATIONS:

Able to organize work, set priorities, manage projects, provide excellent follow-up, and oversee multiple projects concurrently with minimal supervision.

Capable of keeping confidential any knowledge acquired concerning patients, employees, or organizational matters.
-
Writes clearly and concisely for a variety of mediums e.g., social media, articles, marketing materials.
-
Experience communicating both verbally and in writing for a diverse community audience.
-
Ability to think critically and exercise independent judgment and discretion.
-
Demonstrated experience successfully impacting event coordination and outcomes.

Aptitude for managing large sets of data in CRMs and effectively utilizing Excel and other tools for data analysis.

Ability to multi-task and manage multiple projects and priorities concurrently.

Essential Responsibilities and Competencies:

Develop and execute comprehensive donor communications, including stand-alone marketing pieces, internal and external newsletter articles, social media posts, and donor updates to keep donors and prospects informed and engaged. Utilize storytelling to highlight the hospital's patient impact, achievements, and needs.

Oversee the maintenance of the prospect and donor database in Salesforce to ensure accuracy and efficiency. Analyze data to inform fundraising strategies, identify potential donors, and track donor engagement. Perform monthly gift review and credit card reconciliation, data review and clean-up projects, and ongoing reporting.

Assist the Marketing & Communications, Outreach, Philanthropy, and Volunteer Services teams in event coordination from concept to creation. Coordinate logistics, manage budgets, and work with vendors to ensure successful outcomes. Evaluate event success and provide detailed recommendations for future improvements.

Support recruitment efforts for volunteers at Valley by maintaining current and accurate volunteer job descriptions and supporting marketing efforts highlighting open positions. Work to develop volunteer roles that support the hospital's needs and provide a rewarding experience for participants.

Maintain Valley's volunteer database in Volgistics, updating status, contact information, assignment changes, and quarterly and annual reporting of volunteer impact.

Manage the annual volunteer flu shot program to ensure compliance with hospital requirements for staff and volunteers.

Responsible for ensuring a surplus of all volunteer-related documents are printed and available for use, including orientation packets, campus wayfinding materials, process, and procedure information, etc.

Provide back up support to Supervisor related to volunteer onboarding and training. Knowledgeable and able to host engaging sessions independently.

Keeps up to date on issues pertaining to healthcare climate, philanthropy, and volunteerism.

Reports to leadership in a timely manner regarding workload and issues pertaining to the department.

Adheres to budgets for projects.

Works with outside vendors to obtain high quality services at the best possible price.

Serves as a consultant to VMC staff/clients related to philanthropy, outreach, and volunteer services.
-
Communicates creatively to ensure key messages are received by varying audiences.
