The ideal candidate should be outgoing, organized, and flexible with changing priorities. They should have excellent customer service skills, time management abilities, and research skills. This person should be comfortable asking questions and taking directions from multiple staff. In a fast-paced working environment, the ability to oversee multiple projects and deadlines is essential in this role.
Duties:
As a member of the Program Support team, the Program Coordinator will provide general program support for the BridgeUSA programs within various departments at Greenheart Exchange. This support will include assigned operational tasks, ensuring a smooth placement process for all stakeholders and providing general on-program support for all participants. The Program Coordinator will work and coordinate with staff from various departments including account management, recruitment, operations and partner relations.
Some things you may do in this position:
- Provide day-to-day participant support by ensuring participants complete required check ins, evaluations, and monitoring communications. For the Teacher program this means direct communication with participants from around the world.
- Answer participant and partner questions about program specific requirements/rules, according to Greenheart Exchange and Department of State regulations, as well as questions about everyday life in the United States.
- Facilitate the processing of program validations, renewals, and required check ins, following up with teachers, partners, and school contacts as necessary.
- Ensure quality service by maintaining regular, professional, and courteous communication with participants, field staff, partners, host organizations and other staff.
- Assist with day-to-day operational processing, such as reviewing participant applications, reviewing change queue items, recommending participants, sending job offers on behalf of host organizations, processing validations, processing local coordinator payments and participant stipends.
- Advising on program participants and field staff (Regional Directors/ Manager and local coordinators) of requirements for participant international travel based on specific program rules and regulations.
- Carry the emergency phone and follow all Greenheart emergency phone procedures as assigned
Some qualifications that are given preference:
- Minimum of Bachelor’s degree or equivalent experience highly preferred.
- Experience managing data and working in a customized database
- At least one year of work experience, preferably in a non-profit setting
- Customer service experience is a must, including proven experience resolving conflicts and managing sensitive situations
- Experience managing a high volume of emails and telephone calls
- Exceptional time management and organization skills
- Excellent writing and verbal communication skills
- Ability to work with a diverse group of stakeholders
- Tech-savvy, proficient with Microsoft Office Suite, especially Microsoft Excel
- Experience studying, volunteering, or working outside the U.S., and/or experience working in a multicultural and/or multilingual environment, a plus
