Sr. Medical Office Coordinator
Job Description
The Department of Oncology is seeking a Sr. Medical Office Coordinator (Sr. MOC) to work under the general supervision of the administrative supervisor. The Senior Medical Office Coordinator performs patient scheduling, pre-registration, and telephone triage activities, using Epic while offering friendly, courteous, and confidential assistance to every patient. They are responsible for the day-to-day activities of Medical Oncology at Green Spring Station to ensure a smoothly functioning office and good patient relations. Resolves patient problems and/or refers patients to appropriate resources. Serves as a resource in a team environment.
The Sr. MOC provides administrative support for medical matters on behalf of physicians, and general academic/general administrative support. Adapts to changes in technology and software to ensure efficient office practice. The candidate is also responsible for a variety of patient-related activities, and is required to have a good working knowledge of the Green Spring satellite's clinical operation, patient care delivery model, and referral services. May serve in lead capacity to orient, train, and direct new medical office coordinators or other office staff.
Specific Duties and Responsibilities
- Coordinates Sr. MOC’s primary providers’ high-volume practice.
- Coordinates visits either within the department or between several departments.
- Schedules patients for laboratory tests, medical examinations, procedures, and admissions. Resolves any schedule conflicts. Use electronic health records (EPIC) to access, enter, and edit patient information.
- Relays information to patients regarding preparation for laboratory tests, examinations, and procedures. Assures all patient correspondence (consent, orders, history & physical, etc.) Is transmitted to correct areas on time to streamline patient processing, by fax or scanning.
- Assists patients, patients’ families, referring physicians, and third-party carriers to resolve patient-related issues.
- Registers patients for clinical appointments using a computerized database.
- Telephones and interviews patients and/or family members to obtain accurate pre-registration information and to confirm appointments.
- Communicate through Epic MyChart or print and mail directions, maps, and department-specific information to patients.
- Verifies and enters pre-registration and insurance information into the electronic health record (EPIC).
- Obtains and/or verifies patient’s demographic and insurance coverage data by RTE, telephone, or in person.
- Confirms appointments by Epic MyChart, telephone and/or mail. Fills vacancies due to cancellations.
- Obtains pre-certifications as required by patients’ health care insurers or managed care providers.
- Triage patient calls and medical issues. Answers patient medical questions where appropriate and determines if director/nurse response is required.
- Utilizes knowledge of practice and requirements of third-party payors to provide appropriate documentation to assure authorization/certification for medical services.
- Demonstrates awareness of limitations of institutional resources and seeks to maximize providers’ scheduling within this context. Proactively seeks to schedule/reschedule patients to efficiently utilize resources (e.g. backfill to cover cancellations or add urgent appointments).
- Assists patients or family members with completing medical insurance and disability forms.
- Arrange or assist in arranging patient transportation.
- Maintains primary providers’ templates, calendars, and schedules appointments and meeting rooms.
- Operates personal computer to access e-mail, electronic calendars, and other basic office support software.
- Discuss patients’ charges, if appropriate, with patients and/or patients’ families.
- Collects time of service payments, issues receipts, and prepares cash settlement records.
- In the absence of the financial counselor, close TOS payment end -of- day in Epic.
- Records incoming faxes and delivers them to the proper personnel.
- Responsible for special projects as assigned by the director or administrator.
- Scope of Responsibility
- Knows the formal and informal departmental goals, standards, policies, and procedures which may include some familiarity with other departments within the school/division. Sensitive to the interrelationship of both people and functions within the department.
- Decision Making
- Carries out duties and responsibilities with limited supervision. Makes decisions and establishes work priorities on essentially procedure-oriented operations.
Minimum Qualifications
- High School Diploma or GED.
- Three years of progressively responsible medical office experience required. Additional education may be substituted for up to one year of experience.
- Medical terminology is required.
- Intermediate computer and proofreading skills are required.

Starting Salary Range: $18.20 - $33.90 HRLY ($57,200.00 Annually Targeted; Commensurate with experience)
