Position Summary:
The Human Resources Associate (HRA) provides support in functional areas of Human Resources to the Office of the Vice Chancellor for Research (OVCR), including but not limited to recruitment and employment, employee relations, compensation recommendations, communications and special projects. The HRA assists in the development and implementation of HR policies and procedures and their dissemination; prepares various reports; consistently applies and interprets organization policy; acts as a liaison with other departments and organizations; provides input in the review and evaluation of personnel as appropriate.
Duties & Responsibilities:
- Primarily responsible for all activities related to the search/interview/hiring process, including coordination of orientation and onboarding.
- Partner with hiring manager and/or unit manager to assist with the development of job descriptions, and the overall search, recruitment, and selection process for all employee classification (academic professional, civil service, extra help, student employees), including conducting reference checks, extending, and negotiating offers.
- Serves as a resource to search committees to provide guidance and information related to searches (recruitment/interviewing resources/tools) and communication relating to the progress and status of the search and selection process.
- Assist with managing the human resources life cycle for all employee classifications including recruitment, selection, on-boarding, appointment and payroll processing, performance reviews, leave reporting, retention and exit, and other HR related duties.
- Processes FMLA and SURS Disability requests.
- Collaborate with campus offices on all HR life cycle and employment processes, as needed, including leave of absence, employee/labor relations, employee accommodations, ensuring appropriate deadlines, policies, and guidelines are applied and followed; serves as a liaison between all Campus offices and OVCR employees.
- Serves as a resource to managers and employees, providing expertise and guidance on HR related matters, including university policies and procedures.
- Ensures compliance with federal and state regulations (Policy and Rules, Statute and Rules, SUCSS and the UIC Access/Equity Program) in all employment activities.
- Assist with logistical planning for HR hosted/sponsored orientation, onboarding, manager trainings, presentations, and meetings.
- Serve as liaison to the Office of International Services to coordinate visa and immigration processes for international hires, staff, students, and visiting scholars.
- Responsible for updates to the OVCR HR website and assists in HR communications.
- Perform other related duties and participate in special projects as assigned.
Qualifications:
Minimum Qualifications:
- Bachelor’s degree in Human Resource Administration, Management, Organizational Administration, Public Administration, Labor Relations, Business Administration or a field closely related to the position.
- Two (2) years (24 months) of work experience performing professional-level human resources duties.
Preferred Qualifications:
Experience performing HR functions in a research, basic sciences, or clinical sciences area preferred.
