Position Summary

Reporting to the Associate Vice President for Enrollment, Logistics & Operations, the Associate Director of Enrollment Operations & Data Quality Control is responsible for ensuring the accurate collection and data entry of all documents pertaining to Undergraduate Admission and Financial Aid.

 

This position is also responsible for being knowledgeable of all updated regulations as they relate to the maintenance of such records; and, the integrity and confidentiality of documents.

 

Occasional travel, weekend, evening, and holiday hours may be required.

 

Essential Functions        

  • Oversees data entry, scanning, email retrieval, mailings, and electronic filing for Undergraduate Admission and Student Financial Services in using the University’s system of records like Slate, PowerFaids, Hyland, etc. to maintain data integrity and compliance.
  • Develops and runs Quality Control queries and reports to ensure data accuracy and identify system errors, collaborating across departments to resolve any discrepancies.
  • Manages and updates organization tables in the University’s system of records, including Slate and Banner, and supports continuous data synchronization between systems in collaboration with other departments within the Enrollment group.
  • Monitor outcomes and analyze data entered by staff for continuous improvement.
  • Assists with the mapping of data variables between systems.
  • Collaborates and trains staff to research and clear suspended records from nightly sync runs and identifies and rectifies data discrepancies between systems.
  • Ensures accurate merging of records between applications and trains staff to resolve discrepancies and data issues, including suspended records, from nightly synchronizations.
  • Represents the department on university committees and collaborates with other departments to achieve shared goals.
  • Manages budget lines, approves invoices, and prioritizes and delegates projects to optimize office operations and resources.

Management Responsibilities  

Supervises the work of other Fordham employees who are individual contributors. Responsible for hiring, training and developing, managing performance and administering corrective action. Has significant input in compensation decisions.

 

Additional Functions      

  • Collaborates with IT on system upgrades and improvements and serves as a liaison for the department.
  • Creates workflows to automate processes
  • Assists with the testing of all university data system upgrades
  • Manages departmental budget, approves invoices, and ensures efficient resource allocation.
  • Collaborate with others on long-range planning and development of policies and procedures.
  • Works collaboratively with other Enrollment Group offices to share tasks or provide additional coverage as needed.
  • Communicates daily with staff throughout the Fordham community, as well as prospective and current students.

 

Required Qualifications: Education and Experience        

  • Bachelor’s Degree
  • Minimum 4 years experience in Admission, Financial Aid, and/or Academic Records, or equivalent university-related position required.

 

Required Qualifications: Knowledge and Skills     

  • Proficiency in Microsoft Office (Word/Excel) and Google Suite.
  • Excellent communication, organization, adaptability & time management skills for a collaborative work setting
  • Demonstrated ability to solve problems, multitask, and manage work and outcomes
  • Proven ability to rapidly learn and implement innovative applications, tools, equipment, workflows, and technologies.
  • Meticulous attention to detail.
  • Knowledge of college policies, procedures, academic programs, and federal regulations, such as FERPA and Record Retention.
  • Good interpersonal and organizational skills are essential.
  • Superior problem-solving and multitasking skills are essential.
  • Ability to work under pressure and accurately process large volumes of work.
  • Must be detail oriented and capable of handling multiple tasks.
  • Ability to work independently, effectively, and collegially with students, faculty, deans, staff, and senior administrators.
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

 

Preferred Qualifications 

  • Master’s Degree
  • Knowledge of Banner, Slate, DegreeWorks, PowerFaids, and OnBase Hyland scanning solution preferred.
  • Experience in Operational functions of an Admission or Financial Aid area of Higher Education.
  • Minimum of 3 years of experience managing others.

 

Minimum Starting Salary: $80,000

 

Maximum Starting Salary: $85,000

 

Note: Salary is commensurate with qualifications, experience, and skills.
